S (General Maintenance Stop) is a period that occur annually of aproximately 10 days, in which preventive and corrective maintenance is carried out, in order to avoid production stoppage until the next event. Thus, in order to automate the planning and control process of each GMS in the Pulp and Paper sector, a tool called GEP (Maintenance Management) was developed, which functions as a GATEWAY, through which a sequence and a time for carrying out activities from the moment a demand is created (scope for contracting a maintenance service), until the conclusion of the service contracted after GMS. After the elaboration of a demand, carried out by the Maintenance Planning team, GATEWAY sends a notice to the next department involved in the contracting and so on. Each stage of the process has approvals or refusals, which make it advance to the next stage or return to the previous one, in order to make the necessary corrections. The GATEWAY allows the monitoring of each of these steps through graphics, these bring the status of the demand, or of the set of demands requested, and can thus be monitored by the planners themselves. It is also possible to check the activities of each factory - in the case of companies that have several plants - with automated management. It also maintains the historical of information, facilitating the work of Maintenance Planners, who can use the same scopes in subsequent years or even having the possibility to make changes to them. Thus, the application for the Purchasing Department is equivalent: create a database of suitable suppliers for each maintenance demand. In addition, this GATEWAY allows the exchange of information and files between areas of the company and suppliers, through e-mail (in this case the database of suppliers copied from ERP / SAP is used) or smartphone, which ensures greater visibility and agility in the execution of activities. In short, besides providing greater insight into the processes, allowing for continuous improvement work, several teams work directly on the GATEWAY and each professional has a user and password, which allows the identification of those responsible for each process, facilitating the monitoring and interaction between teams. In this way, the monitoring of each team is personalized and the dynamics between them become clearer, making possible conflicts due to communication failure. Following the concept of Industry 4.0, which refers to systems integration, there are opportunities to increase the productivity of the portal, such as: integration with ERP / SAP, receipt of commercial technical proposals via the PEM portal and a tool that consolidates the macro and micro contracting schedules with the schedule for carrying out the contracted maintenance.
